Introduction
Before you start work on your proposal, you need to ensure that you have worked through the teaching/learning activities provided to ensure that you have a good knowledge of project management processes. You will need to refer to your notes from the activities to write your formal project proposal, project improvement process and project presentation, all of which are vital components of your End Point Assessment for the apprenticeship. The apprenticeship cannot be achieved without successfully passing all of these parts.
Identifying the topic for the project
The project needs to be based upon an improvement to an administrative function in your organisation. Firstly, you need to meet with your line-manager and discuss a suitable topic for your project. It would be useful for you to keep a learning journal/diary to note down the key points to aid your self-reflection at the end of the process and so that you can present a full justification/evaluation of your competence. Please also see the guidance in the evidence brief of the types of evidence you will need to collect/keep before, during and after for the project proposal, project improvement process and project presentation.
Project Proposal
Earlier, you were given instructions to arrange a meeting with your mentor/line-manager and the timeframe for achievement of each part in the project management process.
Once the topic has been agreed with your line-manager, you need to put a proposal together and submit to your assessor/tutor for approval. The proposal/plan needs to be presented as a word document and should include the following points as a minimum:
- Background to your organisation
- The name of your organisation and what their main aim/purpose/objectives are?
- Your role within the organisation and how this meets with the organisational aims/objectives?
- What is your role in the project improvement process? Who else is involved in the process?
- Scope/Introduction
- The topic for the project identified and why this needs improvement
- Aims/objectives of the project and the desired outcome
- A brief overview of what is planned and why?
- Planning/Managing
- What research will you carry out before you put the project plan together and what ‘tools’ will you research which will be useful for project planning?
- Which stakeholders did you discuss/agree the project plan with and why?
- Of those researched, what tools will you use to plan the interim milestones/achievement of objectives and why?
- Communication to stakeholders
- Who do you need to communicate with before, during, after and who will you consult about the final plan? Who do you need to obtain agreement from and how was this achieved?
- What is the communication plan – before, during, after?
- Resources
- What resources are planned – time, costs, equipment, people?
- Risks and Contingencies
- What are the associated risks?
- What contingencies have you considered to try to address these should they occur?
- Monitoring/Evaluation
- How you will evaluate/measure success (include the dates for specific achievement of interim milestones and end targets and the tools used in the process)?
- Desired outcome
Your proposal should be presented using the following template –

Use the following headings and under each section, give comprehensive detail/information for each. Refer to evidence where applicable as ‘see appendix XX’ and include in the appendices at the end. Please also ensure that you include any links to websites used for research (within the text and in the titled bibliography at the end. Please follow the format for Harvard referencing, a guide can be found in the ‘getting started’ files on Teams).
